Stand design & Submission deadlines
First steps
What does it look like/ what’s included?
Space only stands are just that. No walling or stand fittings will be provided and you are responsible for organising all of this at your own cost. The design of your stand is your responsibility and must be such that it can be erected and dismantled within the time available; please refer to your assigned exhibition timetable for the build-up and breakdown schedule.
When you arrive on-site the area of the stand will be marked out on the venue floor. It is your responsibility to ensure that the stand is built to the correct floor markings. If you are unsure of these contact the organiser offices before commencing build.
When building your own stand, you must adhere to our building regulations and guidelines. You are also required to submit your stand plans with supporting documents before the stated deadline.

on this manual, which outlines the Regulations and Legislation you are subject to, including the details of your responsibilities. When building a space only stand, you have a legal obligation to build your stand to the required standards of the venue and local authority.
Appointing a Contractor
Space only exhibitors may appoint a stand contractor of their choice. We strongly recommend using an ESSA Member as they deliver confidence, security and accountability by being part of the recognized trade body for this sector.
Exhibitors are free to choose and work with any suppliers. Below are a few companies IFA has worked with in the past.

It is essential that all of your contractors and sub-contractors are fully aware of the Technical Guidelines, Rules and Regulations, Health & Safety procedures, relevant forms and deadlines contained within this manual. Please ensure these details are forwarded to them.
Complex stand vs. non-complex stand?
Stand Types: Non-Complex vs Complex
- Non-Complex
Applies to stands that do not meet the complex criteria.
- Complex stands
A stand is classed as complex if it includes, for example:
- Multi-storey structures
- Special/temporary structures (e.g., stages ≥ 100 m², grandstands, large LED walls/towers, walkable/covered structures, enclosed cinemas/auditoriums, etc.)
- Large areas: ≥ 1,500 m² (hall-wide/large event areas) or performance areas ≥ 200 m²
- Outdoor structures, structures outside the booked stand space
- Play/sport and amusement devices (e.g., rides, fairground attractions, inflatable playground equipment like bounce houses, etc.) where the height of the walkable area is > 5.0 m or where covered areas exceed 25 m², and where there is a risk of the roof collapsing.
- Show and stage trucks (II.+III.) with permanently installed or retractable trailers or walkable stage areas > 75 m², intended for access or use by general exhibition participants/visitors.
- Free-standing scaffolds and advertising structures/monitor and LED display walls
Other booth constructions that are walkable and/or covered or freestanding: platforms, catwalks, awnings and coverings, container systems with 2 or more floors. - Facilities with a fully enclosed cinema or other types of spectator and visitor rooms.
- All other stand structures that can be walked on and/or are covered or free-standing: platforms, walkways, awnings and roofs, container systems comprising 2 or more storeys.
- Structures treated as “temporary buildings” under German regulations
Stand Plan Submission
Please login to the ezone and submit the stand plan approval.
All stand plans, non-complex and complex must be Submit through the eZone.
Submission deadline:
- Non-complex: Monday, 13 July 2026
- Complex: 6 weeks before the first day of build
What must be uploaded:
- Stand name, stand number, hall number
- 3D visuals / renders
- Dimensioned drawings (floor plan, elevations/sections) incl. wall stability
- Reverse dressing / rear wall finishing (see section 7)
- Doors: vision panels required
- Platforms: height + access ramp solution (accessibility)
- Rigging documents (if applicable)
- Risk Assessment (mandatory)
- Method Statement (mandatory)
Late submissions:
- Late submissions will incur a late or emergency onsite fees.
- Incomplete submissions will result in no access to commence build.
Late working request during build up and breakdown / Night access request during event open days
All requests related to late working outside of the official opening time, please complete the below forms via Ezone accordingly.
Late working request during build up is subject to a fee of 593.45 EUR+ VAT per time period.
Please note, the online application is valid until 23.08.2026. From 24.08.2026, the late working request must be submitted in person to our Customer Success Team at the Business Centre at Großer Stern, from 08:00 to 16:00 daily.

Stand Plan Approval for Complex Stands
- Complex Stand Plan Submission Process
A stand is classed as complex if it includes, for example:
- Multi-storey structures
- Special/temporary structures (e.g., stages ≥ 100 m², grandstands, large LED walls/towers, walkable/covered structures, enclosed cinemas/auditoriums, etc.)
- Large areas: ≥ 1,500 m² (hall-wide/large event areas) or performance areas ≥ 200 m²
- Outdoor structures, structures outside the booked stand space
- Structures treated as “temporary buildings” under German regulations
- Stand over 4m in build height
- Complex Rigging
- Unsupported horizontal span over 4m
- Pre-Approval: All complex stands must be pre-approved by your Account Manager at IFA Management GmbH via email.
- Submission of Documents: After receiving pre-approval, you must complete the Stand Plan Approval Form for Complex Stands and attach ALL required documents.
- Plan Review: Following the initial check by IFA, the Messe Berlin Team will review and formally approve your complex stand plans.
- Building Permit: Once approved, you will receive an official Building Permit Notice. Please note that construction may not commence without this notice.
Important: A stand is not approved until written confirmation is issued by Messe Berlin.
Required documents (German or English)
- Structural calculations (DIN/Eurocode or equivalent) + verified test reports where required
- Building description + site plan
- Construction drawings (floor plans, elevations, sections, details)
- Rescue route plan (lengths and widths)
- If applicable: certified design approval / valid test logbook
- For mechanical/electrical equipment (e.g., sport/play equipment):
- Operating & construction specs + risk assessment
- Design drawings
- Proof of structural stability
- TÜV certificates/approvals and/or EU Declaration of Conformity (e.g., Machinery Directive)
Submission Deadline:
- 6 weeks before the first day of build
Approval fees:
Review of Submitted Documents and Construction Supervision: Messe Berlin GmbH charges €10.00/m² for stand superstructures or upper floor areas, with a minimum fee of 600,00 EUR + VAT for the approval and review of submitted documents for accuracy and completeness, as well as for the on-site supervision of the load-bearing structure, including stairs and railings.
Structural Analysis Review: If the submitted structural calculation has not been reviewed by a certified structural engineer approved by Messe Berlin, Messe Berlin GmbH can be commissioned to perform the structural analysis. The cost for this is €10.00/m² of the stand superstructure or upper floor area, with a minimum fee of 780,00 EUR + VAT. Additional inspections will be charged based on the actual effort.
Inspection/approval costs are charged to the exhibitor directly by Messe Berlin.
Stand over 4m in Build Height
IMPORTANT:
The following complex stand categories will be reviewed and approved by the EEP Safety Team Limited:
- Stand over 4m in build height
- Complex Rigging
- Unsupported horizontal span over 4m.
Submission Process:
- Complete the Complex Stand Approval Form via Ezone and attach ALL required documents. For further questions, please contact the EEP team by email: tom@eepteam.com.
- All documents must be submitted as PDF (EN/DE), without password protection, 6 weeks before the first day of build.
- After approval, you will receive a building permit notice. Please note that construction cannot begin without this notice.
Approval Fees:
- The standard stand plan approval fee will be 674,40 EUR + VAT.
- The late stand plan approval fee fee will be 755,30 EUR+ VAT.
The late fee will be applied if the 6-week deadline before build is missed. - Failing to submit stand plans before the official build will result in an on-site approval and an emergency approval fee of 950 EUR + VAT.
- If the submitted structural calculation has not been reviewed by a certified structural engineer, an additional fee of 841,62 EUR + VAT will apply.
- Complex rigging approval fee will be 323,70 EUR + VAT.
* A building permit will only be issued once payment has been received. The charges will be visible in your eZone basket.
Stand Plan Approval for Non-Complex Stands
- Non-Complex Stand Plan Submission Process
Applies to stands that do not meet the complex criteria.
- Complete the stand plan approval form - Non-Complex Stands and attach ALL required documents.
Plans for non-complex stands will be reviewed and approved by the EEP Safety Team Limited. Email: tom@eepteam.com - Documents must be submitted as PDF (DE/EN), no password, by 13 July 2026.
- After approval, you will receive a building permit notice. Please note that construction cannot begin without this notice.
Submission Deadline:
- 13 July 2026
Approval fees:
- The standard fee will be 205,01 EUR + VAT.
- The late fee will be 399,23 EUR + VAT.
The late fee will be triggered when the 6-week deadline (13 July 2026) before the build is over. - Failing to submit stand plans before the official build will result in an on-site approval and an emergency on-site approval fee of 950.00 EUR + VAT.
A permission to build will not be issued without receiving this payment.
